The Colibrily Crew - ETHICAL AI PRINCIPLES
Balancing Innovation with IntegrityTRANSPARENCY
At The Colibrily Crew, we use AI to support content development, but human expertise always shapes and reviews the final work. This process is guided by our Ethical Marketing Policy to uphold our commitment to transparency, accountability, quality, and privacy.
HONESTY
AI will never be used to mislead or manipulate customers, and all AI-assisted content must align with our values and ethical standards. The Colibrily Crew’s policy prohibits employees from using AI to impersonate any individual without their explicit permission. While AI technology can replicate the style of public figures, we do not engage in this practice.
INCLUSION
We focus on fairness across age, gender, ethnicity, sexual orientation, and disability. We know that biases can exist in the AI models’ training data, so we always check the results to make sure they are inclusive and true in our communications.
ACCOUNTABILITY
AI is a supportive tool in our toolkit, not a substitute for our unique expertise. Our policy mandates that creative humans must always oversee and review AI-assisted content to ensure reliability and accuracy. Should any issues arise from AI-assisted content, we will take responsibility and address them promptly.
DATA SECURITY
When using AI tools, employees must be mindful of potential infringements on copyrights, trademarks, patents, or other legal protections from the input or output generated from AI tools. Confidential information includes, but is not limited to, trade secrets, intellectual property, business strategies, financial information, and personal data of employees or clients.
DATA PRIVACY
We are committed to protecting the privacy of our customers and safeguarding our intellectual property (IP). We uphold user privacy by strictly following all relevant laws, regulations, and best practices. To achieve this, we use only approved AI tools with reliable privacy policies, and customer data (beyond name and email) will never be entered into AI tools or language models not on our approved list. This approach ensures our data and IP remain secure and are not used to train publicly accessible models.

ACCEPTABLE USE CASES OF AI
AI tools enhance our operations and improve customer experiences. Permitted uses include, but are not limited to:
-
Summarizing lengthy articles, press releases, or academic papers to highlight key points and statistics.
-
Reviewing large datasets for insights or to extract subsets of content.
-
Explaining or defining complex concepts and acronyms.
-
Reviewing content for errors or enhancing clarity.
-
Evaluating articles and proposing section headings or headlines.
TRAINING EMPLOYEES ON AI USAGE
All employees using generative AI tools undergo training on both the technical aspects and the ethical considerations detailed in this policy. This helps maintain our standards and build important skills. As AI evolves, refresher courses will keep our team updated on best practices.
ADDRESSING SPECIFIC ISSUES
ALGORITHMIC BIAS
AI systems learn from data that can carry existing biases. We carefully check all AI-generated content to ensure it remains inclusive and accessible.
ENVIRONMENTAL IMPACT
We acknowledge the environmental impact of generative AI and pledge to use AI tools responsibly. We purchase carbon offsets to mitigate the environmental harm caused by electricity and water consumption tied to AI use. Employees are also encouraged to keep prompts concise.
HALLUCINATIONS AND INACCURATE INFORMATION
We recognize the potential limitations of AI-generated content. All outputs are cross-verified by our team, and employees are encouraged to seek help or use other resources when needed.
OWNERSHIP AND COPYRIGHT
While AI tools generally assign output rights to the user, the legal landscape around AI and copyright is evolving. AI-generated images and videos may not be protected by copyright in some jurisdictions (like the U.K. and Europe) because they’re not created by humans. We remain cautious and monitor this closely.
COLLABORATION AND ENGAGEMENT
We actively work with industry leaders, clients, and community members to advocate for responsible AI use. This includes participating in public discussions and sharing resources to encourage higher AI ethics standards.
ONGOING USE-CASE REFLECTIONS
Our team is encouraged to continuously consider:
-
Does this use case align with our values and purpose?
-
What am I aiming to achieve? Is AI necessary for this outcome?
-
How can I ensure diversity of perspectives in the output?
-
What can I do to minimize AI’s environmental impact?
-
Whose AI tools are we using, what do they gain, and how does this affect the future of our planet?
-
Are we learning new skills or relying on AI instead of developing our own capabilities?
COMMITMENT TO EVOLUTION
As AI and marketing technologies evolve, so will this policy. We monitor the field across different marketing channels and update our practices accordingly.
